Front desk responsibilities for large active academic unit.

Essential Functions

Receives callers and visitors to the Mathematics Department; routes callers and visitors appropriately. Answers routine questions about the department. Handles math course adjustments, assist graduate advisor with recruiting materials and graduate fils, coordinates special events. Imparts routine information to students. Maintains inventory of supplies and orders supplies as needed. Responsible for office equipment (copiers, fax, and scantron). Requests and coordinates maintenance and repairs to machines. Coordinates routine maintenance requests for repairs needed in the department. Processes incoming department mail. Updates mail box assignments. Maintains listservs. Receives and responds to email and inquires sent to main department email address. Miscellaneous office projects.

Marginal/Incidental functions

Other functions as assigned.

Required qualifications

High school graduate or equivalent. 6 months of secretarial experience. Knowledge of personal computer and other standard office equipment. Experience with multi-line phone. Preferred Qualifications

Some college. Excellent communication skills and customer service experience. Experience with MS Office suite. Secretarial experience in a large academic department or business. Experience with PeopleSoft (MyMav).
