Additional Information

Purpose

Provide support to Texas Performing Arts Marketing area with the day-to-day administrative operations and processes.

Essential Functions

Oversee all aspects of accounts payable for the Marketing area including paying invoices and reconciling ProCard purchases every month. Handle purchasing and work orders for the Marketing area. Assist Marketing Director with budget planning and maintenance. Manage highly detailed Broadway and concert advertising settlements. Maintain productive relationships with media partners and secure and submit ads as assigned. Assist with maintaining the advertising schedule(s). Oversee poster and flyer distribution and mailings, and maintain venue visibility. Handle all ticket requests for area. Assist with website and social media updates as assigned.

Marginal/Incidental functions

Other related functions as assigned.

Required qualifications

Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Experience using Microsoft Word and Excel. Demonstrated advanced organizational skills and attention to detail. Demonstrated ability to work within time constraints and meet deadlines. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree. Directly related experience with duties listed. More than the above required experience. UT Austin administrative experience. Experience processing invoices and working with vendors. Working knowledge of current trends in the marketing field. Basic knowledge of FileMaker Pro. Demonstrated ability to work cohesively with individuals of varying artistic and administrative backgrounds. Advanced organizational skills. Experience performing in a position where multi-tasking skills were critical to the job. UT Austin administrative experience.
