General Notes

The usual work hours will be 8am to 5pm, but may vary according to job requirements. Work hours may occasionally be 8:30am-5:30pm or 9am-6pm. Hiring decision contingent upon applicant clearing a security background check.

To perform administrative and administrative support functions for the division of Custodial Services.

Essential Functions

Processes, monitors, troubleshoots, researches, and builds reports on FAMIS/WORQS-related transactions, such as, but not limited to, work orders, service requests, billing, and metrics tracking. Answers phones from internal and external clients. Coordinates and dispatches trouble calls and communicates verbally and in writing to answer inquiries. Organizes and maintains electronic and hard copy file systems, and files correspondence and other records. Maintains databases. Coordinates and sets-up trainings, meetings, and interviews. Secures locations and venues and assures proper operation and setup of associated equipment. Prepares and manages routine and confidential correspondence, including preparation of outgoing and incoming mail, email, and faxes. Creates and develops time-sensitive documents, professional presentation slides, graphs, spreadsheets, and reports from various sources using MS PowerPoint, MS Word, MS Excel, and FAMIS/WORQS. Orders and maintains supplies and arranges for equipment maintenance. Reviews purchasing documents for correctness. Assists with special projects. Fills in for other staff members as necessary. Cross trains for other administrative duties in Custodial Services.

Marginal/Incidental functions

Other related functions as assigned.

Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.

Required qualifications

High school graduation or GED. Three years of experience with administrative support functions to include use of information management systems, electronic filing, preparation of reports, database management and email. Customer service experience. Stable work history. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor Degree. More than three years experience in administrative support. More than one year of customer service experience and demonstrated customer service skills. Possess effective organizational skills, attention to detail, and problem-solving skills. Demonstrated ability to accept supervision and work both as a team member and independently. Demonstrated ability to perform with professional demeanor while working in a dynamic, multi-tasked environment. Requires a moderate degree of independent judgment and decision-making. Demonstrated willingness to cross train and be cross trained. Demonstrated proficiency using the Microsoft Office Suite. Demonstrated ability to create, maintain, and query integrated databases. Demonstrated effective written and verbal communication skills. Puncuality and good attendance. Typing score of 45 wpm or more. Spelling score of 90 wpm or above.
