General Notes

40 hours, variable schedule to be determined with supervisor. Overtime, weekends and holidays possible but rare. Manage administrative support services of Custodial Services, in Facilities Services. Supervise administrative/technical staff of six. Responsible for direction, coordination, performance, and evaluation of admin group. Work collaboratively as member of management team to accomplish division and departmental goals.

Essential Functions

Assist the Associate Director, Managers, and Assistant Manager of Custodial Services with a large volume of complex decisions. Supervise a clerical staff that spans overlapping shifts in the operation of the work unit, exercising a high degree of initiative and judgment. Exemplify the departmental core values of service, integrity, teamwork, excellence, and stewardship. Collaborate on annual goals that are part of department and division initiatives. Promote and communicate division strategic objectives in terms understandable to employees. Audit progress via data collection, review, and metric analysis. Submit reports and records in a timely fashion. Plan, direct, supervise, and coordinate activities of the administrative section and ensure that goals and objectives are accomplished within prescribed time frames, performing a variety of tasks personally or through assigned staff. Engage in frequent communication, coaching, counseling, redirection, and correction, as appropriate, to ensure achievement of expected performance levels. Ensure maintenance of performance evaluation record for employees. Establish, monitor, and maintain viable inspection, corrective action, and follow-up programs. Establish and ensure written standardized procedures for all administrative services and processes. Ensure that employees are trained in areas such as, but not limited to, new employee orientation, on-the-job training, use of technology, customer service, health and safety practices, public relations, refresher training, upgrading, and leader development. Interview, hire, and train employees. Appraise work performance and administer annual, semi-annual, and probationary performance evaluation based on performance standards. Reward and discipline employees. Address complaints and resolve problems. Actively participate on departmental teams and committees. Attend and participate in meetings. Participate in professional development activities and coordinate same for office staff.

Marginal/Incidental functions

Drive university vehicles. Perform off-shift work as required. Other duties as assigned.

Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.

Required qualifications

Bachelor's degree and three years of clerical experience, including one year of experience at either the Administrative Assistant or the Administrative Associate level, or high school graduation or GED, and seven years of clerical experience, including one year at either the Administrative Assistant or the Administrative Associate level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Supervisory experience. Must have a valid driver's license and an acceptable driving record.

Preferred Qualifications

Bachelor's degree in business administration and seven years of clerical experience, including five years at the Administrative Associate level. Two years or more of supervisory experience with a scope of full supervisory responsibility for 4 or more employees. Superior verbal and written communication skills. Advanced computer skills in databases, spreadsheets, and project management applications. Experience working in higher education environment or equivalent. Demonstrated ability to work professionally within a team environment. Effective interpersonal and collaborative skills. Ability to effectively prioritize, manage multiple projects, delegate and produce deliverables on deadline. Punctuality and good attendance. Spelling score of 90 or above and typing score of 50 or above on file. Successful completion of the Facilities Services and Project Management and Construction Services Leader Development program.
