General Notes

This is a 9 month work year position (work mid-August till mid-May of each year). Hours may vary and additional hours may be required during peak periods. Some weekend required during fall and spring semesters (Saturday/Sunday 10:30am-3pm). Schedule to be discussed at interview.

Additional Information


Provide receptionist, clerical, and front office support in several clinics in University Health Services (Appointments, Cashier/Insurance, General Medicine, Sports Medicine, and Urgent Care).

Essential Functions

Front office duties in General Medicine, Patient Access, and Sports Medicine/Urgent care, such as: check-in/check-out students for appointments; schedule health appointments for students; answer a multi-line phone; manage day-to-day front office duties; send correspondence via secure message to students; collect insurance information and enter in Electronic Health Record; scan insurance card; process record release requests for immunizations. Front office duties in Cashier/Insurance, such as: basic cashiering responsibilities; data enters patient insurance information from various sources including electronic queue; assists patients with form completion to lift bars; processes subscription applications; fields any inquiries for charges, payments, and/or refunds generated from UHS; process patient billing and Bursar transactions; assists with patient referrals to specialists and external radiologist as necessary.

Marginal/Incidental functions

Exhibits exceptional customer service behavior and excellent public relations skills in all aspects of work. Participates in other activities as appropriate and assigned.

Required qualifications

High school graduation or GED. Three years of experience with clerical functions. Excellent interpersonal and communication skills and a professional demeanor. Accuracy in grammar and punctuation. Outstanding organizational skills. Attention to detail. Demonstrated ability to learn tasks quickly with minimal training and supervision. Flexibility with shifting priorities. Ability to maintain confidentiality of protected health information. Regular and punctual attendance. Exhibits customer service behavior and excellent public relations skills in all aspects of work. Demonstrated ability to successfully work with a diverse community and provide services from a non-judgmental perspective. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than the required years of experience with clerical functions. Certificate of completion of Medical Assistant program. Experience working in the front office of a healthcare/medical clinic. Experience working in a student health center. Experience using Electronic Health Records, Billing Software, including Microsoft Word, Excel soft Windows environment. Experience collecting insurance information. Experience as a cashier.
