Provide administrative support and event coordination under the direction of the Administrative Manager, in the Undergraduate Education office of the College of Natural Sciences.
Provide calendar and meeting management support for the Associate Dean for Undergraduate Education. Respond to correspondence in relation to programs and Associate Dean matters; route as appropriate. Coordinate and manage all aspects of special events for various programs: manage budget and track expenses, contact vendors and service providers, coordinate with necessary departments, units or groups, reserve/arrange space, collect supporting materials, coordinate volunteers, process purchase orders and vendor payments, various correspondence, execute day-of-event activities and provide customer service for all guests. 30 Perform various administrative functions: process travel arrangements and reimbursements, process PARs, handle hourly payroll, reception duties, copy, print and file, etc. Act as the administrative contact for NSC courses, including course scheduling, room reservations, course instructor surveys, uploading instructor CVs and syllabi, and performing other associated duties to maintain University policy compliance. Provide back-up administrative support to associated programs and the Administrative Manager within the office of Undergraduate Education.
Other related functions as assigned.
Bachelor's degree and three years of administrative/clerical experience. Experience with calendar/meeting management or similarly demonstrated ability of utmost attention to detail. Superior written and oral communication skills. Demonstrated efficiency and organizational ability. Professional and customer service-oriented demeanor. Must be "student-friendly" and willing to work with student populations. Experience managing and following-through with overlapping, time-sensitive projects in a dynamic multi-task environment. Ability to work both in an independent and team environment. Equivalent combination of relevant education and experience may be substituted as appropriate.
More than the required amount of experience listed. Experience with reception in a high-demand office setting. Basic budget, accounting experience and event planning experience. High degree of expertise working with word processor (Word) and spreadsheet (Excel). Experience in DEFINE, HRMS, PointPlus and other University related systems.
