Purpose

Provides independent assistance to the Systemwide Compliance Officer, Chief Information Security Officer and 14 other staff members in the daily operations and functions of two departments in the Office of General Counsel.

Essential Functions

Opens, sorts, and distributes mail. Receives, screens, and routes calls; maintains calendars and assists with email management. Schedules and coordinates meetings and conferences for large groups. Assists with coordination and tracking of pending assignments, from within and outside the office; maintains databases and files. Schedules and prepares travel itineraries, makes travel arrangements, and prepares worksheets for travel reimbursements; assists with accounting for fund transfers to UT System institutions for implemented information security projects; accumulates expenses, registrations, memberships, etc. for payment by Office Manager. Coordinates and assists the Technical Specialist on large projects and is the lead administrative employee on small projects. Prepares, types, and edits correspondence and presentations. Provides assistance to all employees in department as needed.

Required qualifications

High school diploma or GED equivalent and three years of administrative support experience. Knowledge of standard office practices and administrative procedures. Excellent customer service and organization skills. Ability to manage a variety of tasks. Ability to use standard office equipment, software, and basic tasks using the Microsoft Office Suite. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Some higher education or secretarial training.
