Provide receptionist support for the office and administrative support to the Metroplex Region Director of TMAC, in support of the mission of the organization.

Essential Functions

Coordinate all administrative requirements for the NIST survey process. Ensure that forms are complete. Be the Metroplex point of contact for the survey process. Publish survey results. Provide administrative support for the Metroplex Region Director. Coordinate all travel. Manage all communication and scheduling for the Director. Provide administrative support for the TMAC financial system. Provide weekly financial reports from the UTA system to the Director. Mail and file all approved customer invoices. File all customer payment documentation. Support the Director with monthly staff meeting status reporting. Serve as back-up for the Financial Coordinator. Provide Office Administration. Order and maintain a lean supply of office materials. Complete administrative requirements to enable office equipment functionality. Maintain office deliveries and office shipping account. Maintain TMAC book log, teaching kit log. Support the TMAC outreach projects. Manage process of Holiday card ordering and distribution. Coordinate TMAC staff charitable contribution efforts. Process all staff travel reimbursement expenses according to UTA fiscal policies and procedures.

Required qualifications

Bachelor's degree with 1 year upper level secretarial experience or High School with 5 years of increasingly responsible administrative, secretarial and clerical experience with 1 year of supervisory experience. Preferred Qualifications

Bachelor's degree. 1 year of supervisory experience. Proficient in Microsoft Office Suite to include, Excel spreadsheet building and maintenance; PowerPoint slide building and editing; Access database building and maintenance. Regular responsibility for narrative reporting which requires excellent communication and writing skills. Experience with CRM (Customer Relationship Management) systems and time-tracking software.
