Works closely with the Business Manager and the Director of Administration to provide administrative support to the department primarily in the areas of human resources and financial reporting.

Essential Functions

Coordinate all human resources activities from recruitment and hiring of new personnel to employee separations. Audit the daily collection, processing and reporting of automated and manual timecard transactions. Prepare university payroll for the department to include transferring, balancing and posting semi-monthly payroll. Process appropriate personnel forms and electronic documents. Set up and maintain all employee personnel files. Assist with annual budget and produce various financial reports with the Business Manager. Act as departmental liaison to Payroll Office, Office of Human Resources (OHR) or other university offices. Coordinate resolution of disciplinary actions. Assist in the scheduling of various training programs. Work on assigned projects. Prepare reports or conduct studies for department management. Assist with clerical projects such as records retention, mailings, and preparation for special events as needed.

Other related functions as assigned.

Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.

Required qualifications

Associate's degree in public administration, human resources, business administration or related field; five years experience in a clerical position with two years of experience in a human resources function. Equivalent combination of relevant education and experience may be substituted as appropriate. Working experience at the University of Texas. Demonstrated knowledge of HRMS such as, employee classification, compensation and benefits, recruitment, selection, dispute resolution and training. Familiarity with DEFINE documents such as, travel, payments and reimbursements, and payroll. Competent computer skills with a highly proficient knowledge of Microsoft Excel, Work, and Outlook. Strong and effective interpersonal skills. Excellent oral and written communication skills. Solid organizational, time and project management skills and the ability to multitask. Ability to work collaboratively as well as achieve goals independently. Strong analytical and problem solving skills.

Preferred Qualifications

Bachelor's degree in public administration, human resources, business administration or related field; five years experience in a clerical position with three years of experience in a human resources function. Working experience in a Dean's or Director's Office. Expert level experience with Excel. Experience with personnel processes related to students, classified staff, Administrative and Professional staff, and faculty. Experience with FRMS, UT Market, WORQS, COGNOS, VIP and other UT information management systems. Working experience with grants and other restricted funding sources.
