Additional Information

Purpose

Provides administrative assistance to the Office of Employee Benefits (OEB) in the daily operations and functions of the Benefits Team and department.

Essential Functions

Answers telephone for OEB, ascertains nature of business and gives information to callers or routes appropriately. Places outgoing calls as necessary. Routes incoming mail as necessary. Assists Benefit Team with general customer service issues. Opens, ascertains, processes assigns written participant correspondence and appeals on behalf of the Benefit Team. Utilizes complex database and FileNet programs to track and monitor appeals once assigned. Performs advanced administrative functions for persons in a position of key responsibilities including drafting reports, presentations, and correspondence. Coordinates meeting and calendar arrangements for the Benefits Team, and other OEB staff members, including scheduling, room arrangements, agenda, taking minutes, if necessary, and catering. Assists with the coordination of the electronic paperless file system and related office file and retention policy and processes. Participates in the coordination of significant events such as the annual Benefits Training Workshop, Annual Enrollment Meetings, System Administration Health Fair, negotiates related event contracts and collaborates with contracted vendors. Assists in the preparation of all administrative functions necessary to draft, and publish a Request for Proposal, including receiving bid responses, coordinating team reviews, compiling data and assisting with contract implementation. Administers departmental purchases to include office supplies. Review and final approve departmental time reporting and manage departmental laptop and electronic equipment inventory. Assists with travel arrangements, business expense reimbursements and tracking plan printing and expense invoices on behalf of the benefit team.

Required qualifications

High school diploma or GED equivalent with one year of administrative experience. Excellent writing and verbal communication skills. Must be a UT Institution Employee. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Meeting planning experience and strong customer service skills.

Working conditions
