Membership Assistant is responsible for daily, operational, data entry and routine operations that support the Membership Department and Annual Giving Manager.
Enter and process all membership and annual fund gifts in Raiser's Edge and UT VIP system. Download and process website membership applications. Fast and accurate data entry. Maintain member/donor records in the computer system in a timely and accurate fashion. Maintain files for memberships and donations. Maintain documentation of gift processing procedures and tasks. Answer phone inquiries from members and nonmembers for membership in a friendly and helpful manner. Send and answer correspondence from members and nonmembers for membership. Prepare, track and send silent auction requests. Assist Membership Manager in data gathering, research, and organization related to the membership process. Manage onsite sales initiatives (tabling, special offers, event promotions, etc.). Participate in member cultivation activities. Make suggestions/recommendations to help Membership Department develop and meet its strategic planning goals. Provide information as required to webmaster, department managers and staff that supports their successful execution of Center objectives. Coordinate and organize work for volunteers and act as Membership volunteer liaison. Train and coordinate volunteers for special on-site membership promotions. Help with and attend Wildflower Center events (i.e. Plant Sales, Luminations, Goblins in the Garden, Gala, etc.). Other duties as assigned to contribute to Membership operations. Includes some weekends and evenings. Prepare and submit departmental VC1 documents for lockbox deposits. Download daily lockbox deposit summaries and images.
Other related functions as assigned. Occasional evening and weekend events.
High school graduation or GED. Three years of clerical experience, including one year of experience using a personal computer, word processing and/or proofreading. Exceptional written and oral communication skills.
Bachelor's Degree in an applicable field. One to two years of related professional experience in membership-type setting with database responsibilities. Working knowledge of Microsoft Word Office products, including word processing and spreadsheets. Working knowledge of database management systems, in particular The Raiser's Edge. Ability to manage complex projects. Background in communications, marketing, public relations, business management, or other related areas considered helpful.
