Coordinate and supervise the planning, implementation and logistical support for all University of Texas Libraries outreach events, conferences and workshops.
Work collaboratively with Libraries staff and administration in planning and scheduling outreach programs and conferences. Coordinate with sponsoring unit to ensure timely invitations, registrations, vendor contacts and follow-up, confirmations and invoicing. Meet with unit heads and organizing committees to plan scope and format of events, establish and monitor budgets, and review administrative procedures and event progress. Assist with internal office functions such as staff retreats and receptions. Maintain accurate Libraries events calendar. Make arrangements for administrative and logistical support; physical facilities, housing and food service needs of participants, audio-visual and related equipment needs. Ensure adequate support personnel are trained and available to assist at events. Assume on-site responsiblity for activities at Libraries events and sponsored conferences.

Bachelor's degree. Five years of experience coordinating or administering a program, preferably in a higher education setting. Demonstrated proficiency with Microsoft Word, Excel and electronic mail. Able to work flexible schedule. Demonstrated ability to work collaboratively. Demonstrated ability to work independently and as part of a high-functioning administrative team. Demonstrated ability to manage multiple projects at one time. Possess strong written and verbal communication skills; ability to communicate effectively across departments. Equivalent combination of relevant education and experience may be substituted as appropriate.
Working knowledge of DEFINE; Photoshop; use of publishing software for creating basic online event invitations. Demonstrated ability to oversee budgets.
