Assist the Office of Career Services with coordinating daily operations and support other program initiatives sponsored by the Office of Career Services. Provide advanced clerical skills as required to manage budgets, complete purchases and maintain websites.
Process purchase requisitions and manage office accounts (payroll, reimbursements, purchasing, reconciling, obtaining quotes when necessary, preliminary contract review, etc.) for all accounts and all part and full time professional staff members. Maintain accurate accounting records monitor expenditures and income against budgets. Office management including: provide quality customer service, open the office daily, address correspondence, return all voice mail, monitor office supplies/inventory, maintain office computers/electronics/software, and schedule use of conference room. Supervise Student Assistants on office coverage and schedule all student office hours. Assist with departmental marketing and publications, review and update Career Services website on a regular basis. Conduct research as needed, schedule meetings, and assist with departmental reports, assessment and student evaluation. Utilize university systems in preparation of reports and fiscal documents.
Support events within the Division of Student Affairs; may serve on University committees. Other related functions as assigned.
High school graduation or GED and three years of secretarial experience. Proficiency using computers and office software packages. Equivalent combination of relevant education and experience may be substituted as appropriate.
Bachelor's degree in business or a field closely related to the specific endeavor of the department. More than three years of secretarial experience and familiarity with DEFINE, PointPlus, Peoplesoft and/or OmniUpdate.
