Additional Information

Purpose

Perform and coordinate skilled administrative and accounting functions for assigned accounts in a high volume, complex and fast-paced unit.

Essential Functions

Serve as a purchasing resource including preparation of purchase orders, change orders and payment vouchers. Process division credit card and office supply electronic documents. Prepare petty cash reimbursements. Coordinate and conduct purchasing workshops. Serve as a payroll resource including processing electronic payroll documents, reconciling semi-monthly amounts, and generating internal reports for semi-monthly hourly payroll. Review and post internal and external transactions. Maintain and prepare files of backup documentation for records retention. Serve as backup supervisor for part-time students including training and monitoring work. Process and deposit gift donations. Run credit card reports for daily deposit. Serve as backup for deposit preparation including review and reconciliation of daily cash reports, data entry report generation, and generate cashier analysis. Assist with preparation of Annual Physical Inventory. Prepare a variety of reconciliations, including: Physical Plant, budget book and petty cash imprest funds. Serve as a contributing staff member in the Business Services area of the Division, exercise a high degree of discretionary effort in all phases of work, maintain effective job manuals, serve on committees, and perform other tasks as assigned.

Required qualifications

High school graduation or GED. Three years of experience with clerical functions. Demonstrated accuracy, attention to detail and organizational skills. Effective written and verbal communication skills. Proficiency in Microsoft Excel and experience with a database program. Demonstrated ability to provide exceptional customer service, be flexible, work independently, and work as part of a team. Excellent interpersonal skills. Ability to accurately process a high volume of work with many interruptions, in a shared office space. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree. Direct experience with the essential functions. Experience with bookkeeping/accounting functions, making deposits, and performing payroll and/or purchasing. Experience with FileMaker Pro.
