The purpose of this position is to provide added coverage and office assistance to the Administrative Assistant I, as well as the Chair and Associate Chair.

Essential Functions

Support the Chair, Associate Chair and Administrative Assistants in all areas of office operations; primarily responsible for greeting guests and answering the phone during shift; covering office during lunch and taking care of all miscellaneous issues that come through the door. Process/distribute daily mail, including delivery of boxes using a dolly. Work with faculty and students on producing recital and concert programs and fliers with desktop publishing and distribute fliers throughout Music area of the Fine Arts Building. Office contact for student evaluations of faculty; maintain database schedule of Music Department Scholarship Auditions in spring; maintain check log for department and summer camps and make daily deposits; assist summer camp coordinators with camp applications. Handle process for tenure-seeking faculty from emailing contacts, sending letters and review materials and presenting final package to Chair; prepares thank you letters for endowment donations and keeps donation log. Order faculty books; hand-deliver papers around campus; open doors in department for students and faculty as needed.

Required qualifications

High school graduation or equivalent and 6 months secretarial experience. Ability to answer multi-line phone; greet guests in a professional manner; assist students and faculty members; above average knowledge of Microsoft desktop publishing, Word and Excel; excellent writing skills; cash handling experience; good organizational skills and ability to multitask; use of fax and copy machines. Preferred Qualifications

Knowledge of basic office computer systems and office machines. Excellent communication skills. Front office/receptionist experience.
