To serve as an event planner in the University Events Office. The University Events Office produces official events for The Office of the President and the University Development Office.
Event planning includes obtaining services of vendors i.e. caterers, florists, tablecloths, etc.; ordering event services consistent with events budget; work with caterer to produce menu for events; produce work orders for internal services i.e. physical plant, photography, etc.; generate and or obtain guest lists; and address and mail invitations. Act as liaison between University Events and Development Office staff regarding events. Attend and assist at events including greeting guests, ensuring smooth and timely operation of caterer, florist, etc., and assisting President and the President's spouse as needed.
Other related functions as assigned.
Bachelor's degree. Five or more years of increasing responsible experience producing and planning high-profile, complex events. Demonstrated ability to work effectively in a team-oriented environment. Demonstrated ability to manage multiple projects and work under pressure of deadlines. Proven ability to collaborate with contractors/vendors required to plan such events. Proven ability to develop and work within a budget. Demonstrated attention to detail. Excellent relationship building skills. Professional demeanor and ability to interface effectively with a wide variety of staff, faculty, donors, vendors, and other customers. Excellent verbal, written, and interpersonal communication skills. Excellent organizational and customer service skills. Demonstrated project management experience. Proficiency in FileMaker Pro and Microsoft Office applications. Equivalent combination of relevant education and experience may be substituted as appropriate.
Additional years of event planning experience. Demonstrated experience interacting with key University constituents, alumni, and donors. Demonstrated ability to interact effectively with university administrators, deans, faculty, and staff in providing good client and customer service. Proficiency in University policies, rules and procedures.
