To provide administrative support to The Materials Science and Engineering Department.

Essential Functions

Assist the Graduate Advisor with admissions and advising duties. Answer email inquiries from potential students, maintain student records, process enrollment requests, service indicators and GMAPs. Perform vetting for scholarships, fellowships and graduate assistantships. Serve as liaison to the Graduate School. Submit schedule of classes each semester,and request events using Astra. Serve as receptionist answering phones and greeting guests using professional customer service skills. Arrange travel and process vouchers for faculty members, graduate students, guest speakers and prospective faculty members using DEFINE. Submit schedule of classes each semester,and assist with classroom/event scheduling using Astra. Submit key and access requests while maintaining those records for annual audits. Process employee reimbursement vouchers. Schedule and arrange meetings such as Advisory Board meetings,(ordering food for meeting when necessary and prepare agendas). Occasionally assist with College of Engineering special events (E-week, graduation, etc). Assist the Administrative Assistant with purchasing office supplies and backup for payroll duties.

Required qualifications

High school graduation or equivalent with 2 years of secretarial experience. Graduate Student admissions and advising experience. Proficiency with MS office suite and experience with university software systems including MyMav, Define, WebNow, Astra. Excellent oral and written communication skills. Preferred Qualifications

Experience and knowledge of Graduate policies and procedures and their associated software systems, MyMav, WebNow, Discover Viewer. Experience creating vouchers using the DEFINE data management/accounting system. Good communication skills and experience working with students is highly desired and appreciated.
