Position located in San Antonio on the North Campus of The University of Texas Health Science Center at San Antonio, College of Pharmacy - Division of Pharmacotherapy, The University of Texas at Austin. Additional hours may be required during peak periods. In addition to the UT Austin application, a seperate application must be submitted through the UTHSCSA.
To provide administrative support to the Division of Pharmacotherapy and the College of Pharmacy, in collaboration with other support staff and consultation with the Division Coordinator and the Dean's Office.
Assist with complex administrative duties and daily operations of an academic department. Responsibilities include, but are not limited to, answering phones for the division, acting as receptioinist for the division, composing routine correspondence, assisting with reports, ordering supplies, reviewing inventory, and assisting faculty. Prepare, process and track orders, requisitions, and reimbursements. Make arrangements for travel, meals, seminars, interviews, and receptions for invited guests. Assist with compliance, annual reports, and special projects. Maintain confidential records and files. Assist other administrative staff with key responsibilities. Attend staff meetings at the McDermott building and also at UT Austin as required. Assist with project planning and special events. Participate in ongoing training. Provide backup to IT staff and other administrative personnel.
Other related functions as assigned.
Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.
High school graduation or GED. Three years of experience with administrative functions. Extensive knowledge of computer applications, including the ability to use specialized software packages such as Microsoft Word, Power Point and Excel. Possess effective organizational skills, attention to detail, and problem-solving skills. Ability to work both as a team member and independently. Demonstrated ability to perform with professional demeanor and communicate effectively with diverse individuals, while working in a dynamic, multi-tasked environment. Requires a moderate degree of independent judgment and decision-making. Demonstrated willingness to cross train and be cross trained. Equivalent combination of relevant education and experience may be substituted as appropriate.
More than three years experience with administrative functions. Experience with Macintosh computer. Ordering and travel arrangement experience. Familiarity with medical terminology. UT Health Science Center admin/computer mainframe experience, or experience working for any University of Texas component institution. Peoplesoft or Define experience preferred.
