The Administrative Assistant for the Jester Mail and Service Center is responsible for the accurate and timely distribution of mail to all Jester Center occupants. This position provides customer service, administrative, and on-site support for the Jester Mail and Service Center.
Responsible for the timely and accurate distribution of mail including: proper handling of mail and packages delivered by the United States Postal Service or other major providers; communicate with all mail delivery providers about delivery services and concerns; ensure the security and confidentiality of customer mail and packages; manage the mail forwarding/return process for undeliverable mail. Perform Administrative functions and processes for the Jester Mail and Service center; complete typing, copying, and other work as assigned; maintain inventory of supplies (forms, office supplies, shipping supplies); maintain records of mail received, purchasing and cashier records; maintain accurate records of room changes and forwarding addresses; submit requests for maintenance or supplies as needed Support the on-site functioning and daily operations of the Jester Mail and Service center including assisting the supervising hall coordinator with the hiring and training of student staff; approve time records for student staff; communicate with the supervising hall coordinator regarding performance concerns and training needs of student staff; adjust student staff assignments to meet the daily operational needs of the center. Provide customer service to all patrons of the Jester Mail and Service center including students, faculty, and staff; address and investigate questions and complaints related to mail delivery; utilize procedures and policies related to damaged or misplaced mail or packages; communicate with supervising hall coordinator about complaints or suggestions shared by patrons.

Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.
High school graduation or GED. Three years of experience with clerical functions. Working knowledge of Microsoft Office software such as Word, Excel, PowerPoint, and Outlook. Excellent interpersonal, verbal and written communication skills and attention to detail . Ability to organize, meet deadlines, and work as part of a team. Regular and punctual attendance. Professional demeanor. Experience providing excellent customer service. Tact, diplomacy and good judgment when dealing with others. Valid Class C Texas Driver's License. Must be qualified to operate a UT Vehicle and maintain an acceptable driver qualification through the university UT Driver's system. More than 3 years experience performing complex administrative functions including: data entry, word processing, maintaining files, databases and office inventory. Experience working with diverse student groups in a University setting. Cash handling experience. Ability to prioritize and multi-task with interruptions. Ability to take initiative and work independently. Excellent computer skills and the ability to quickly learn new applications. Demonstrated ability to work well within a diverse team environment.
