Purpose

Provide complex administrative support for the staff, students and faculty of the Advanced Technology Laboratory within Applied Research Laboratories.

Essential Functions

Prepare various internal departmental forms such as purchasing, travel and vouchering. Process and reconcile purchasing request using company's credit card. Perform word processing, graphics and light editing of manuals, technical reports, test plans, proposals and correspondence. Process and handle confidential data. Process security-sensitive documentation Prepare and edit presentation materials in various software applications Plan meetings and conferences for internal staff and outside sponsors Collect, review time sheets, process payment vouchers and maintain files.

Other related functions as assigned.

Required qualifications

High School graduation or GED and five years of clerical experience at the administrative assistant level. Ability to perform detail-oriented administrative work within a very fast-paced environment. Ability to use Microsoft Office applications such as Word, Excel, PowerPoint and Access. Applicant must be highly organized and capable of planning and coordinating multiple tasks and managing their time. Requires attention to detail, effective problem solving skills and excellent judgment. Ability to work independently with sensitive and confidential information, maintain a professional demeanor, work as a team member without day-to-day supervision and effectively communicate with diverse groups of clients. Able to work under pressure and accept supervision. Regular and punctual attendance. US Citizen. Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information at the level appropriate to the project requirements of the position. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree. More than five years of experience at a more complex Administrative Assistant level. Accuracy in spelling, punctuation, grammar and proofreading. Three years of experience using computer (McIntosh and IBM-compatible PC) with various software including MS Word, Excel, Access and Powerpoint, FileMaker Pro, Informed Filler and Canvas. Willingness to learn other new software applications as necessary. Demonstrated ability to learn quickly and excel. Flexibility and willingness to put extra effort into accomplishing a task. Eligibility for immediate access to classified information.

Working conditions

May work around standard office conditions Repetitive use of a keyboard at a workstation Some weekend, evening and holiday work. Frequent use of manuals and books. Work in shared, windowless office space. Some intrastate/interstate travel.
