To provide administrative support to the Chair of the department. Responsible for account and curriculum management.
Responsible for diversified accounts and records for funding, contract maintenance, payments, reconciliations, closeouts and reporting. Prepare monthly financial reports. Review central accounts and fund groups for propriety of entries and investigate overdrafts. Verify reconciliation of accounts and projects are closed according to procedure and a final financial statement of each project is completed. Responsible for all aspects of course schedule production. Prepare room chart each semester for classes and make room reservations. Prepare and revise course inventory. Provide SACS accreditation support. Assist in submission of grades for organized and individual instruction courses. Prepare spreadsheet with teaching and office hours for all faculty. Assist with student registration and adds/drops. Assist Department Chair with calendar and schedule, correspondence, proofreading and formatting documents, planning travel and reimbursements. Provide administrate support to the Executive Assistant. Process faculty, student, and staff appointments. Process scholarship and tuition payments. Provide back up for office staff and general business office operations.

High School graduation or GED. Five years of clerical experience. Excellent written and verbal communication skills. Punctuality, regular attendance and professional demeanor. Ability to work independently and as a team member, be flexible and willing to take on new responsibilities. Proficiency with Filemaker Pro and Microsoft Office programs. Demonstrated organizational and analytical skills with attention to detail, resourcefulness, and ability to work independently and on multiple projects, and under pressure of strict deadlines. Commitment to providing excellent customer service. Equivalent combination of relevant education and experience may be substituted as appropriate.
More than five years experience with complex administrative functions. Experience working at a university in an academic department. Extensive experience using Microsoft Word, Excel, UT web-based modules and mainframe applications: FaSet, NRRECS, NRCRSE, DEFINE, course file updates, final exam system, grade reporting, and room scheduling. Demonstrated knowledge of the University of Texas at Austin administrative policies and procedures. Experience developing and maintaining databases, spreadsheets and record-keeping.
