Under limited supervision of Department Chair/Director of the University, provides personal clerical and administrative services and assistance, of moderate complexity, requiring judgment and discretion on a periodic basis. Keeps official records and executes policies determined by/in conjunction with other officials.
Initiates and edits correspondence, memorandums, disciplinary reports, hiring requests, and purchase requisitions; and gets necessary document approvals; aides in preparation, editing and revision of manuscripts, reports, and other complex documents; Assists with administration of affiliation agreements; Helps prepare documents to meet accreditation requirements; files and maintains correspondence and other records. Screens incoming calls and correspondence and responds independently when possible; routes priority mail to director; directs calls to appropriate individual. Arranges programs, events, conferences, trainings, and meetings, issuing information or invitations, coordinating speakers, and controlling event budget; arranges complex and detailed travel plans and itineraries, reservations for faculty and students, compiles documents for travel-related meetings, and accompanies supervisor when requested. Provides clerical and administrative support to department staff, maintaining a high degree of confidentiality on all sensitive information this position is privy to. Processes new appointments or changes in appointments, processes payment vouchers, places book orders for courses, and other purchase orders via BIS and UT Direct systems. Responsible for entering course and instructor information in Banner as well as adding and dropping students, removing departmental holds, and assisting students with registration and degree plans. provides department chair with Banner information by running reports. Creates and maintains database and spreadsheets, manages multiple mailing lists and communicates with multiple constituencies; Tabulates and reports survey responses; Assists with budget preparation. Outlines and explains university procedures and policies to supervisory workers, and monitors compliance.

Three to four years of administrative experience in an academic setting, including extensive student and administrator contact or equivalent combination of education and experience. High level of computer skills with standard Office applications, prior experience with UT system business applications. Skilled in compiling data, making tables and summaries. Ability to read, analyze, interpret periodicals, procedures, governmental regulations. Ability to write reports, correspondence, procedure manuals. Ability to present information , and respond to questions from managers, clients, customers, public. Oral, written, interpersonal communication skills to interact with personnel, assist with customers, telephone calls and walk in customers.
