Additional Information


To provide administrative support and back-up reception services for the Graduate School.

Essential Functions

Provide administrative support and reception services, including answering multi-line phone, accepting deliveries, and directing visitors to appropriate Graduate School staff or other University offices. Maintain the imaging processes for the Graduate School, including logging and verifying student record documents. Assist with office supply inventory maintenance and ordering. Relay institutional policies and procedures to students. Assist administrative unit with inventory and cash deposits. Assist Graduate School faculty and staff with mail-outs and special projects as assigned. Serve as floor manager for Graduate School Emergency Management Team.

Marginal/Incidental functions

Other related functions as assigned.

Required qualifications

High school graduation or GED. Three years of experience with clerical functions. Professional demeanor, initiative and attention to detail. Excellent interpersonal organizational and communication skills. A history of consistent and punctual attendance at the workplace. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than the required years of experience with clerical functions. Working knowledge of University components and Graduate School policies. Experience providing reception services in a professional setting. Experience with clerical functions associated with sensitive and confidential information. Demonstrated ability to handle multiple tasks under noisy office conditions. Demonstrated ability to use Macintosh computers and Microsoft Word and Excel. Demonstrated ability to work under pressure and meet deadlines. Familiarity with Family Educational Rights and Privacy Act, FERPA.
