Coordinate and execute internal events for the Law School. Work efficiently and professionally with others, communicate clearly and have good judgment while hiring reliable vendors and setting up events.

Essential Functions

The Events Coordinator should be detail-oriented and able to foresee what will be needed for each event. Responsible for handling incoming requests for Law School internal events. These responsibilities include but are not limited to room reservations, food request, furniture request, and keeping inventory of department items. Work closely with Event Coordinator Assistants, or student workers, in training them to complete their assigned duties, help coordinate weekly schedules, supervise daily functions and delegate special events tasks in an appropriate and professional manner. Will be responsible for the creation of event sheets, event checklists, internal invoices, vouchers, easel reservation forms, table reservation forms, and Room reservation forms; Will be responsible for creating event sheets, event checklists, internal invoices, vouchers, and room reservation forms. Will help oversee and ensure that rooms are cleaned-up after special events per prescribed department procedures. Will be required to follow all University of Texas policies, internal processes, and other department instructions.

Required qualifications

High school graduation or GED. Three years of experience with clerical functions. Excellent interpersonal, communication, organizational and multitasking skills. High level of professionalism. Attention to detail. Ability to prioritize responsibilities and manage multiple concurrent projects. Demonstrated ability to work under tight deadlines and to successfully follow documented policies, internal processes, and other instructions. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Completion of bachelor's degree in a field related to the work to be performed. More than 3 years experience in event planning. Prior supervisory experience. Problem-solving skills. Demonstrated use of initiative and judgment. Ability to work independently and as part of a team. Ability to successfully complete the documented essential functions. Advanced MS Word and Excel skills and knowledge of MS Outlook and Meeting Maker helpful.
