To provide varied administrative support for the Department of Apartment and Residence Life (ARL).
Provide administrative support for the Director, Associate Director, and Assistant Directors in the central Apartment and Residence Life Office. Provide support for other ARL staff as directed. Process full-time staff paperwork such as ordering business cards, name tags, setting up email, phone cards, and pro cards as well as processing driver record checks. Maintain and update personnel files. Process classified absence report submission. Process Resident Assistant (RA) and Graduate Assistant paperwork including criminal background checks, new employee packets required by HR, appointments and file maintenance, also separations of RA staff. Prepare and submit Meal plan scholarship documents to Financial aid. Oversee all accounting and budget documents for the Department. Prepare Statement of Account each month requiring backup of each entry on each account. Transfer of funds as needed. Pay any invoices, purchase orders, and personal reimbursement requests. Oversee working fund reconciliation and preparation of vouchers to be reimbursed by the bursars office as needed. Balance programming spending spread sheets on a monthly basis. Prepare and submit annual budget documents. Recruit, hire, train, and supervise the ARL student Office Assistant. Assist in the absence of the Support Specialist by overseeing student payroll, procard processing, Office Assistant hiring paperwork, and ordering supplies. Perform general office duties such as answering the Department phone and email and greeting students, staff,and visitors.

Bachelor's degree with one year upper level secretarial experience or high school with five years of increasingly responsible administrative, secretarial and clerical experience with one year of supervisory experience. Three or more years of increasingly responsible administrative, secretarial and clerical experience with one year of supervisory experience. Previous experience working at UT Arlington as an Administrative Assistant or equivalent with the knowledge of Define, HRMS, Peoplesoft, and other University accounting policies and procedures.
