Purpose

Provides human resource and payroll services for the School of Architecture (UTSOA).

Essential Functions

Process personnel assignments and modifications for staff, faculty, and student employees per university guidelines. Assist employees in the completion of employment eligibility and compliance forms. Assist with staff recruitment efforts. Process termination paperwork for outgoing faculty and staff. Process tuition assistance documents for graduate research assistants. Communicate deadlines and steps regarding employment, tuition, and benefits to student employees. Process faculty Prior Approval Request (PAR) documents for adjunct faculty members, following up with offices and individuals when necessary. Process visa applications for faculty and visiting lecturers, working with the International Office as required. Process semi-monthly payroll for hourly workers. Determine the correct method of payment for individuals performing services for the school and process the appropriate paperwork to ensure timely payments. Approve time reports for staff and administration. Pay out overtime and vacation, as needed, and make manual adjustments to employee leave balances. Assist the Assistant Dean for Administration with special projects. Hire, evaluate, and supervise student workers for the dean's office, setting priorities and seeing that they are appropriately engaged. Serve on team that backs up the receptionist.

Required qualifications

High School graduation or GED. Five years of clerical experience. Experience working with human resource issues in a professional environment. Experience using Microsoft Office Suite. Exceptional attention to detail and customer service skills. Regular and punctual attendance. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree. More than the required amount of experience. Experience working with human resource issues in a higher education environment. Experience with University of Texas applications such as DEFINE and HRMS. Experience with university, state, and federal employment policies and procedures. Supervisory experience.
