To provide skilled administrative support services for the Director of MSSW Admissions and the MSSW Admissions and Recruitment Office
Responsible for daily MSSW Admissions and Recruitment Office administrative needs. Processes large volume of documentation and paperwork to support MSSW admissions applications and provide a high volume of correspondence with prospective students. Maintain large volume of applicant files and provide applicants updates of progress to completion of their MSSW admissions application. Schedule appointments and direct them to admissions counselors as needed. Retain large volume of confidential, historical admission records, archive and destroy as needed in accordance with university guidelines for student record maintenance. Serve as administrative liaison for the MSSW Admissions and Recruitment Office and other departments on campus, most specifically the Office of Graduate Studies. Make final preparation of applicants completed file for the Review committee's evaluation process. Enter student application/admissions data and maintain applicant database for MSSW program options including distance education cohorts, i.e. Fort Worth Cohort, Online Cohort, Lubbock Cohort and Angelo State Cohort as well as the Traditional Face-to-Face program. Maintain and distribute MSSW Admissions Numbers Tracker to provide updates on progress to admissions goals. Collect all application materials, review and verify for completion. Ensure that applicant submissions are acceptable and in accordance with MSSW admissions standards. Provide basic information to assist students in understanding the MSSW admissions process. Coordinate travel for the Director of Admissions. Assist with event registrations, make travel arrangements and prepare travel reimbursement vouchers. Schedule and book appointments with prospective students for Admissions recruiters. Set up interviews for job applicants. Verify applicant references. Assist with budget maintenance and procard reconciliation. Assist director in tracking monthly time leave usage of Admissions Counselors/personnel. Assist with planning and coordination of the MSSW Admissions and Recruitment Office?s quarterly Graduate Admissions Forum. Manage student check-in and hospitality needs on the day of the event. Assist with preparation and facilitation of the MSSW Orientations. Order necessary furniture and arrange shipping to and from conferences. Maintain calendar of events for NTCC, TX Swing, local venues, and UT Arlington campus events. Take minutes for two School of Social Work committee meetings. Maintain regular email and phone contact with large volume of prospective graduate students. Prepare correspondence such as letters, emails, and memos for distribution within the department as well as to prospective students. Maintain administrative needs for the MSSW Admissions and Recruitment Office including ordering office supplies, completing mail correspondence requests, managing recruitment materials, etc. Maintains and operates standard office equipment.
Other functions as assigned.
High school diploma and three(3) years of office experience. Applicants must include in their online resume the following information: 1) Employment history: name of company, period employed (from month/year to month/year), job title, summary of job duties and 2) Education: college or college degree, list school name, degree type, major, graduated or not, and hours completed if not graduated. Equivalent combination of relevant education and experience may be substituted as appropriate.
