Additional Information


To assist multiple development gift officers through the daily management of strategic and administrative activities of the College of Fine Arts' development team. This position is part of an expansion of the College of Fine Arts development team to provide dedicated support to the College.

Essential Functions

Provide daily administrative support to gift officers to maximize effectiveness and efficiency. Answer phones. Manage individual calendars. Arrange appointments and meetings, including scheduling, preparing materials, and all other necessary logistics. Compose and prepare correspondence, reports, and other materials as needed for the cultivation, solicitation, and stewardship of donors. Maintain appropriate electronic and paper documentation. Maintain donor information in VIP database. Coordinate travel arrangements for supported gift officers, including all transportation, hotel, and other meeting logistics. Prepare reimbursements for gift officers, including travel, entertainment, and other miscellaneous reimbursements. Assist with development special projects and events. Work effectively, collaboratively, and in a professional, service-oriented manner with Fine Arts faculty and academic leaders, gift officers and the development staff. Work with development professionals in the University Development Office to coordinate development activities and projects in complete accordance with university development policies. Some evening and weekend work. Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.

Required qualifications

High school graduation or GED. Three years of experience with clerical functions. A combination of one year of experience in word processing, using a personal computer or microcomputer or proofreading. Experience maintaining calendars and schedules for multiple administrators, composing and/or editing correspondence, creating spreadsheets and/or working with databases, and working with confidential information. High degree of proficiency in computer applications, including Microsoft Office. Demonstrated excellent organizational skills with strong attention to detail. Excellent verbal, written, and interpersonal communication skills. Must be able to work well independently and manage Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree and minimum one year of experience assisting with fundraising programs or performing complex administrative functions. Background in the visual and/or performing arts. Experience working in a large, complex enterprise including but not limited to a comparable research university or a large health-care and/or non-profit organization. Proofreading and data review experience. Working knowledge of UT Austin's policies and procedures. Experience with VIP database and DEFINE.
