Additional Information

Purpose

The purpose of this position is to serve as the front desk receptionist by greeting visitors, answering telephone calls, distributing mail, making reservations, and maintaining an office that is professional in appearance and function with organized filing systems and well-stocked supplies.

Essential Functions

Serve as primary contact for all travel authorizations and reimbursements such as VE5, VE6, VP5, Official Occasion Expense forms, VPE docs, Purchase Orders and payment vouchers VP1, various vendor payments and personal reimbursements VP2, ensuring adherence to all college and university accounting policies. Assist with file maintenance, database management, record-keeping, archiving, and inventory of various center and department resources Assist CMAS Director and LRI Director with calendar management, curriculum vitae updates, meeting scheduling, email correspondence, and various administrative tasks as assigned. Coordinate with Administrative Manager, Operations Manager, and Directors on special projects as assigned.

Other related functions as assigned.

Required qualifications

Bachelors degree. Three years experience with clerical functions. One year experience with UT systems DEFINE, FRMS, HRMS, Request Form System, Point Plus, UT Market, etc. Ability to work well with others, detail-oriented with strong organizational skills, strong communication skills written and verbal, demonstrated ability to be a self-starter who takes ownership of assigned tasks. Experience using Microsoft Office Suite, particularly Excel, and creating fillable forms in Adobe Acrobat. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bilingual in Spanish and English.
