Purpose

To provide responsible, complex administrative support to various departments on campus.

Essential Functions

Answers multi-line telephone system and fields questions. Check, collect, and distribute campus mail. Provide general support to staff, faculty and visitors. Performs general office functions-filing, copying, faxing, sorting. Monitor inventory and order office supplies as needed. Assists with accounting functions as appropriate. Experience maintaining calendars and schedules for multiple administrators, composing and/or editing correspondence, working with databases, and working with confidential information. Attend various meetings and take minutes/notes on a laptop or by hand. Collects and compiles information. Determines work priorities and/schedules. Assist in the preparation of regularly scheduled reports. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Responsible for many complex office decisions.

Required qualifications

High school/ GED. 3 years of experience with clerical functions, including 1 year of experience at the Sr. Office Assistant level. Proficient with communication skills and professional demeanor. Excellent time management skills and ability to multi-task and prioritize work. Demonstrates regular and punctual attendance pattern. Exhibits customer service-oriented behavior and excellent public relations skills in all aspects of work. Demonstrated ability to successfully work with a diverse community and provide services from a non-judgmental perspective. Demonstrated ability to work with confidential documents and maintain confidentiality. Excellent attention to detail and problem solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills. High degree of proficiency in computer applications, including Microsoft Office. Experience following instructions. Must be able to work well under pressure and with deadlines, independently, and without day-to-day supervision. Demonstrated ability to work effectively in a team-oriented environment as well. Must be dependable, reliable, responsible, motivated, resourceful and versatile.

Preferred Qualifications

Bachelor's degree. More than the required years of experience. Experience assisting executives. Experience taking meeting minutes. Proficient experience with Word, Excel, MS Project, Access, PowerPoint and Outlook. Experience with internet browsers. Able to work in a fast pace and constant change environment. Experience with UT systems (DEFINE, HRMS, etc.).
