This position provides administrative support and serves as the primary contact for day-to-day operations of the development team in coordination with the development specialist. This position reports to the Director of Development.

Essential Functions

Processes donor related gifts and payments in a professional, timely and accurate manner. Updates related databases, prepares electronic deposits, and forwards payments to UT Gift Processing in the central development office for processing. Drafts acknowledgment letters for signature. Provides general administrative and event support for donor events, including the two annual meetings of the Astronomy Program's Board of Visitors, as well as other observatory and departmental sponsored events. Assists with the production and distribution of general correspondence and large mailings. Examples includes newsletters and announcements to Board of Visitors members, other donors, prospective donors, the University community, and government officials. Makes travel arrangements, itineraries, meeting arrangements, and files reimbursements for the development office. Coordinates VIP visits to the observatory with West Texas personnel. Prepares necessary forms associated with West Texas travel and VIP visits including requests for services, travel authorizations, authorizations of services, and official occasion forms. Assists with maintenance of business records; includes regular filing as well as periodic shredding of confidential information. Assists with electronic filing of contact reports for visits and other contacts.

Required qualifications

Bachelor's degree and one year of experience at the development assistant or administrative assistant level. Demonstrated organizational skills and attention to detail. Proficient verbal, written, and interpersonal skills. Proficiency in maintaining calendars and schedules and managing data in spreadsheets and/or working with databases and mail merges. Demonstrated ability to work in a team-oriented environment. Equivalent combination of relevant education and experience may be substituted as appropriate; however, at least one year of applicable experience is required. Experience with Filemaker Pro and Microsoft Word, Powerpoint and Excel.
