Purpose

Responsible for the successful coordination and management of the human resources functions for the International Office.

Essential Functions

Manage all HR functions for the International Office encompassing professional staff, extension instructors, student workers and hourly/contracted positions. Process Human Resource Management System (HRMS) documents for onboarding, separations, reclassifications, compensation changes, organizational changes, etc. Maintain positions by creating and modifying personnel documents. Off board employees using specified checklist and conduct exit interview. Set-up and maintain highly confidential personnel files and information according to University rules and record retention schedules. Establish and maintain written internal procedures for processes to ensure efficient operation. Make recommendations for improvements to existing practices. Maintain up-to-date and accurate human resources data for reporting and planning purposes. Produce personnel reports. Participate in meetings and workshops by Administrative Systems Modernization Program. Coordinate recruitment activities for all IO units. Work closely with hiring supervisors to post positions, schedule interviews, call references, follow-up communication with applicants, and process recruitment summary. Correspond and process necessary documentation required for new hires. Develop and manage on-boarding information and ensure all arrangements are made for new employee to have required resources on first day of employment. Present monthly onboarding session. Manage timekeeping system for the International Office, and act as final approver for a high volume of time sheets. Document time sheet compliance and follow up with employees and supervisors as needed. Manage leaves of absence, Leave Without Pay and Worker's Compensation Insurance reporting. Process payroll for student assignments and hourly employees. Stay informed of University HR and payroll policies, acting as liaison with all divisions of Human Resource Services, Payroll Services and other University units across campus as appropriate. Develop and implement training sessions for managers and supervisors across the IO regarding HR processes and best practices. Participate in processes and activities designed to establish an organizational culture that supports learning, collaboration, and collective responsibility in order to enhance professional relationships, job satisfaction and organizational effectiveness. Work on office initiatives that promote a healthy workplace through the development of, or identification of, wellness, training, and professional development opportunities and staff recognition for employees at all levels. Coordinate annual performance appraisal process. Assist supervisors with employee relations, and University policies and processes related to performance management. Provide information and resources to employees related to HR matters. Cross-train and provide backup to other team members.

Required qualifications

Bachelor degree. Two years of experience with human resources activities. Demonstrated proficient oral and written communication skills; knowledge of best practices and laws pertaining to human resource functions. Ability to balance workload with frequent interruptions while maintaining excellent organizational skills, customer service attitude, and interpersonal skills. Demonstrated ability to research and analyze problems. Proficient use of personal computer and other standard office software and equipment. Ability to effectively prioritize a high volume of work while managing multiple deadlines; to work effectively both individually and cooperatively as part of a larger team. Professional demeanor and attire. History of regular and punctual attendance at work. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor degree and three to five years experience in a human resources role.
