Additional Information

Purpose

To provide administrative support to several Faculty and ICES research centers and groups.

Essential Functions

Provide general administrative support to the programs and research centers including but not limited to processing aps forms, pbs, typing of correspondence and general center business, maintain all center and research group files and reports, Define documents, HRMS documents. Act as liaison between the research center and University departments as well as outside entitities on various matters pertaining to proposal budgets. Maintain Director's calendar and schedule and organize meetings, seminars, workshops, conferences, etc. Process visiting faculty and researchers, student, and some faculty assignments including immigration paperwork/visas. Process tuition and scholarships for students. Make travel arrangements; process travel reimbursements as well as other types of reimbursements, payments to vendors, and purchase orders. Monitor expenditures on contracts and grants, and assist with preparation of contract/grant reports. Create budgets for proposals and process research proposals through Office of Sponsored Projects.

Required qualifications

Bachelor's degree and three years clerical experience, including one year of experience at either the Administrative Assistant or Administrative Associate level, or high school graduation or GED, and seven years of clerical experience, including one year at either the Administrative Assistant or Administrative Associate level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. A combination of one year of experience as a clerical supervisor or performing complex administrative functions; two years experience with research proposal preparation and submission to Sponsored Projects and federal and industry agencies; extensive knowledge of pre and post research awards from federal agencies; experience maintaining research budgets and knowledge of requirements and policies; strong written and oral communication skills; experience organizing large meetings, seminars and workshops; strong organizational skills required; experience with Microsoft Word and Excel; professional demeanor, punctuality, and good attendance. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications
