Additional Information

Purpose

To provide administrative support to various research centers in the Institute for Computational Engineering and Sciences (ICES).

Essential Functions

Provide general administrative support such as preparation of correspondence; maintenance of files, faculty vitas and departmental annual reports; schedule and organization of events, workshops and seminars and service as liaison between the faculty, centers/groups and University departments and outside entities on various matters. Make travel arrangements for faculty, students, researchers and visitors. Process travel reimbursements as well as other types of reimbursements, payments to vendors, and purchase orders. Process Authorization of Professional Services (APS) forms, and Authorization for Individual Services (PBS forms). Process immigration paperwork for visiting faculty and researchers and students as necessary. Process assignments for student employees and faculty summer assignments via HRMS. Process student tuition and scholarship payments via FRMS. Maintain and reconcile awarded grants and contracts as well as other accounts.

Required qualifications

Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Experience working in a University environment. Knowledge of relevant University policies and procedures. Experience using Define and UT web-based applications; one year of experience using HRMS and FRMS. Experience in academic/research environment with faculty and students. Experience with Microsoft Word and Excel. Professional demeanor, punctuality, and good attendance. Demonstrated excellent interpersonal, oral, and written communication skills. Strong organizational skills, professional demeanor, and innovative problem solving skills. Ability to work without close supervision and demonstrated ability to make decisions. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree. Experience in making travel arrangements; processing tuition and scholarship payments; processing visa paperwork for international students and visitors; with UT or state accounting including preparing budgets and maintaining accounts. Experience organizing events such as large meetings, seminars and workshops. Intermediate knowledge of Microsoft Excel, Microsoft Word, and Adobe Acrobat Pro.
