Purpose

Provides high-level professional communications, office work, and outreach event management for the external relations area of an interdisciplinary digital media program. Provides professional administrative support for external relations, including communications, coordination, and events planning and execution.

Essential Functions

Handles communications and events for constituents and corporate partners. Performs administrative support including related meetings and agendas, visitor arrangements, correspondence, acknowledgments, gift and general office administrative duties. Performs data entry, maintenance, analysis and generates reports using MS Excel and MS Word, and use of UT software systems. Ensures constituent data and files are current and accessible. Oversight and execution of communications projects, including writing, editing, coordinating and managing social media, web communications, print communications, events and special projects. Serves as liaison between external and campus communications resources and vendors.

Required qualifications

High school graduation or GED. Three years of clerical experience, including one year of experience at the Senior Office Assistant level. Must have at least two years of experience with Microsoft Office. Must be able to work independently and as a part of the team and providing administrative support in a collaborative work environment. Excellent written and verbal communication skills. Experience with managing events; Positive customer service skills; Excellent record of attendance and punctuality; Strong organizational and follow through skills. Proven attention to detail and ability to prioritize complex tasks. Maintain and work with confidential records.

Preferred Qualifications

Knowledge of using UT software systems and processes, such as submitting OOEFs. At least two years of experience at the administrative assistant level. At least 1 year of communications and/or marketing experience, including web and social media; Knowledge of writing and design for communications pieces, press inquiries/releases, web/print communications, and social media, including photo and video communications. Ability to assign, monitor, problem solve, and control communications projects and direct communications traffic appropriately and efficiently; Ability to quickly understand and execute on special projects; Experience in higher education communications; Prior employment history of strong customer service skills. 1 year of project management experience.
