Provide advanced administrative support within the Office of the President. Manage the calendar and travel for the President of the University. Exercise a high degree of initiative, judgment, and professionalism.

Essential Functions

Prioritize and manage the President's calendar. Strategically schedule meetings for the President. Communicate effectively with top-level executives. Logistically coordinate a multitude of internal and external events. Assist the Executive Assistant to the President with the flow of work products. Schedule travel for the President. Review travel requests and apply independent judgment to reserve transportation and lodging. Maintain strict confidentiality, provide excellent customer service, and communicate frequently with delegates to the President. Create the Requests for Travel Authorizations (RTA's) for the Office of the President. Create all travel, payment, and entertainment vouchers for the Office of the President. Provide back-up support for receiving visitors and answering calls in the Office of the President. Provide back-up support for processing mail and following record retention rules at the University of Texas. Assist executive staff with special projects as needed and report to the Director of Administration in the Office of the President. Upload documents to Box for various committees and events in the Office of the President. Determine the need for the President to make remarks at events and communicate pertinent information to the University Communications team.

Required qualifications

Bachelor's degree and three years of clerical experience, including one year of experience at the Administrative Assistant level. Strong organizational skills. Ability to set priorities and multi-task. Ability to perform complex administrative work in a deadline-driven environment while maintaining a high level of accuracy and attention to detail. Strong professional demeanor and interpersonal communication skills. Ability to maintain confidentiality and handle sensitive situations with tact. Ability to work as a team member and independently with minimal supervision. Demonstrated ability to compose professional correspondence. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience and familiarity with Microsoft Outlook, Excel, Define and HRMS. Advanced writing and editing skills. Experience coordinating the calendar for a high-level executive. Experience coordinating travel at UT.
