Additional Information

Purpose

Provide administrative support to Administrative Manager and Center director. Responsible for management of departmental services and processes associated with HR, purchasing/procurement, travel, accounts payable, general office operations and events.

Essential Functions

Assist Administrative Manager with all aspects of departmental administrative organization, including fielding calls to director, research related inquiries, drafting, proofreading and disseminating departmental correspondence and providing oversight of daily office operations. Assist Administrative Manager with all aspects of conference and event planning. Responsible for management of departmental services and processes associated with HR, purchasing/procurement, travel, and accounts payable. Initiate HR appointments for visiting researchers, project staff and hourly employees. Process all Center payment vouchers, individual reimbursements, contract payments, payroll and travel forms: VP1, VP2, VPE, VE5/6, OV1, OV7, VP5, VP7, OOEF, APS etc. Prepare cash advance request and oversee advance reconciliation process.

Required qualifications

Bachelor's degree and one year of clerical experience or High School graduation or GED with five years of clerical experience. Motivation to work positively within a dynamic team environment in support of organizational objectives. Excellent oral and written communication skills and professional demeanor. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Strong working knowledge of UT policy and procedures. A demonstrated ability to interact professionally with management, administrators, and the public, as well as a commitment to service excellence. Ability to work under pressure, meet deadlines, operate successfully in a multi-task environment and operate as part of a team. Self-starter.
