Additional Information

Purpose

To administer the large graduate program in the Butler School of Music. Also responsible for supplying factual information to administrators from a variety of FERPA protected sources.

Essential Functions

Provide information via correspondence, telephone, e-mail, website, printed materials, and in person to students, faculty, and staff about the Music Graduate Office and University of Texas Graduate School procedures, guidelines, and rules. Provide advising and registration information to graduate faculty and graduate students. Schedule, coordinate, and copy comprehensive exams for graduate students. Schedule and coordinate diagnostic and language exams and other such events as appropriate. Update graduate student computer records. File related paper documents. Schedule appointments and meetings for Graduate Advisor. Process course substitutions, special petition requests. Prepare candidacy documents. Collect materials supporting change of degree plans, and process graduation materials including recitals, course audits, DMA documents, and course substitutions. Collect and process applications for travel grants and Graduate School and Fine Arts scholarships and fellowships in consultation with the GAAC. Prepare and disseminate information for these meetings as needed. Record changes in procedures and policy. Update the Handbook of Graduate Studies in Music as needed. Research and compile records for enrollment management for current students, doctoral candidates, and readmitted students. Research and compile placement data on graduates.

Required qualifications

Bachelor's degree. Experience working with college students in an administrative or advising capacity. Experience with Microsoft Office, especially Excel. Demonstrated attention to detail. Demonstrated ability to work on multiple projects simultaneously. Demonstrated initiative in all aspects of job performance. Demonstrated ability to take on tasks and make them more efficient. Strong interpersonal and communication skills. Equivalent combination of relevant education and experience may be substituted as appropriate. Professional demeanor. Preferred Qualifications

Master's or Doctorate degree in music or arts-related field. More than three years experience working with graduate students in an administrative or advising capacity. Experience with international student matters. Experience with Filemaker Pro. Experience with website content management. Experience working with UT Mainframe applications, such as NRRECS, NRTTVR and GSADM.
