Additional Information

Purpose

To perform administrative support functions required by Custodial Services work unit. To provide backup for other administrative duties within Custodial Services.

Essential Functions

Collect, update and maintain quality control records for all Custodial Services work units to drive accountability and service improvement. Create and develop tracking mechanisms and metrics under direction of operations managers. Use initiative, analytical ability, and problem solving skills. Organize and maintain data. Make copies of correspondence, quality control records, or other printed materials. Examples are verification of uniform billing and tracking unreturned uniforms, verifying that all Probationary Evaluations and Weekly Evaluations are turned in on time, Annual Evaluation proofing, tracking Alarm Reports and FMLA, and managing Records for pagers and phones. Provide excellent customer service to management team and subordinate leadership. Work closely with Senior Administrative Associate. Provide administrative support to operations managers, including frequent operation of a UT vehicle. Schedule meetings and maintain calendars for operations managers. Prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings. Compose and type routine correspondence including preparation of outgoing mail, e-mail, and faxes. Answer telephone, transfer calls, take messages and arrange conference calls. Assist with special projects. Provide back-up for other members of the Administrative Team, including off campus recruiting events. Assist in absence of co-workers and occasionally work a different shift.

Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.

Required qualifications

High school graduation or GED. Three years administrative support experience. Customer service experience. Proficient with Microsoft Office Suite. Effective written communication skills. Must have current testing scores on file from UT Human Resources for spelling, typing, MS Word, and MS Excel. MS Outlook experience is also required. Spelling score of 80 or above. Typing score of 40 or higher. Stable work history. Current Class "C" Operator Driver License required. Prior to hire date, applicant's Motor Vehicle Report _MVR_ must show driving history of past 36 months. This includes all states resided in for the past 36 months. MVR is evaluated to determine eligibility to drive University-owned vehicles. If not currently a Texas resident, must obtain a Texas Driver License within 30 days after entering Texas as a new resident. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Associates Degree or higher. More than three years administrative support experience. Demonstrated effective verbal and written communication skills. Excellent customer service skills. Ability to work well independently or in a team environment. Ability to analyze, take initiative, and solve problems. Ability to create, maintain, and query integrated databases. Verifiable ability to simultaneously manage multiple projects within a time sensitive environment. Advanced knowledge in Microsoft Office Suite including Word, Excel, Outlook, and Access. Familiarity with Microsoft SharePoint. Excellent interpersonal skills. Spelling score of 90 or above. Typing score of 55 or higher.
