Part-time administrative and accounting processing support for The Center for Media Engagement (CME). Daily work schedule will be determined based on the needs of the department and employee. Once a schedule is established, supervisory approval will be required for changes.

Purpose

Provide administrative and accounting processing support for The Center for Media Engagement (CME).

Essential Functions

General accounting assistance in DEFINE, FRMS and Excel. Process purchase requests, payment vouchers and deposit documents in DEFINE. Assist with travel arrangements for faculty, students, researchers and visitors. Process travel reimbursements as well as other types of reimbursements. Process Authorization of Professional Services (APS) forms, and Authorization for Individual Services (PBS forms), as well as the resulting payment vouchers. Process assignments for student employees and graduate assistants via HRMS. Process paperwork for visiting faculty and researchers as necessary. Review and approve timesheets for hourly students. Process hourly payroll vouchers , student tuition, and scholarship payments via FRMS. Conference card and procurement card administrator for CME. Responsible for securing purchasing documents and processing VP7 payment vouchers for CME ProCard and conference card holder. General administrative support, coordinate mail, produce copies and scans, submit maintenance orders, place and track UPS shipment orders, place entertainment orders, assist with event set up and clean up, and run errands. Maintain an accessible and functional office with organized filing, well-stocked supplies, and operating facilities and equipment, such as daily copier paper and toner maintenance, copier troubleshooting, and placing copier service orders. Process service-related requests.

Required qualifications

Bachelor's degree and at least one-year administrative experience, or high school graduation or GED and five years of administrative experience. Must have strong organizational skills, strong work ethic, impeccable communication skills, and ability to pay very close attention to detail. Demonstrated reliability and punctuality. Ability to multi-task, prioritize tasks, and follow UT procedures and policies while working independently to meet internal and external deadlines. Must be a team player and display a professional demeanor. Highly proficient in computer skills, including experience using Microsoft Office programs. Preferred Qualifications

Experience using Define and UT web-based applications such as FRMS. At least one-year experience with accounting or bookkeeping. Experience with UT or state accounting including preparing budgets and maintaining accounts. Experience organizing events such as large meetings, seminars and workshops. Experience in academic/research environment with faculty and students. Demonstrated proficiency with Microsoft Outlook, Excel, and Word.
