Additional Information

Purpose

Provide assistance to History Department Chair and Finance/Administrative Manager on faculty matters and other departmental academic affairs management.

Essential Functions

Track and process faculty reviews: Faculty Activity Report, Annual Review of Faculty, Third Year Review, Comprehensive Periodic Review, Associate Professors in rank 12+ years, and assist Finance/Administrative Manager with promotion dossier production. Assist Chair and Finance/Administrative Manager with projects as needed, including processing Research Affiliate appointments and coordination of miscellaneous department meetings and events. Assist faculty with requests and general information. Faculty recruiting coordinator, manage travel, itinerary, and events for faculty candidates. Process annual Teaching Award nomination packets, and other miscellaneous faculty nominations. Track and process department undergraduate scholarships and undergraduate appointments.

Marginal/Incidental functions

Other related functions as assigned to support the department. Position may adapt to the changing needs of the department.

Required qualifications

Bachelor's degree and one year of clerical experience or High school graduation or GED with five years of clerical experience. Experience working in academic administration. Excellent communication skills, ability to work as a team member and build working relationships. Ability to receive and follow directions accurately and thoroughly. Ability to learn new skills as required for the position. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree and five years of experience working at the University of Texas at Austin. Experience working in the College of Liberal Arts in an academic department and knowledge of its policies and procedures, experience with coordination of various academic projects, event coordination, UT accounting, UT administrative platforms, and working well directly with faculty. Demonstrated professionalism, reliability, and accountability. Ability to follow directions and anticipate needed action, take appropriate initiative and follow-through. Ability to learn new procedures regarding faculty review, manage processes by deadlines, ability to edit and assemble a large volume of documents according to College instructions with excellent attention to detail and accuracy.
