Support all functions of the MPA Program Office (Academics, Admissions, and Career Services.) Coordinate and schedule events. Track payments and budgetary items associated with events.

Essential Functions

Assist with planning and logistics for MPA programs such as Distinguished Speakers Lyceum Series, MPA career events, traditional MPA orientation, integrated MPA orientation, and spring commencement. This includes completing purchase and travel authorizations as well as event agreements/contracts, assisting with scheduling, catering orders and room layout (in collaboration with other MPA office personnel and venue staff.) Assist with academic and admissions events and programming. Help with the on-boarding process for new students, prepare campus visit schedules for prospective students, and coordinate documentation for the internship program. Responsible for the scanning and archiving of student academic records. Utilize In-Design to create and maintain documents related to orientation. Assist with webinar presentations in Adobe Connect. Prepare administrative documentation, respond to email and telephone inquiries, and order/purchase supplies and equipment as needed. Answer questions and assist students. Coordinate office maintenance as needed. Assist Directors, Program Coordinators, Advisors, and Accounting Department personnel as requested.

Required qualifications

Bachelor's degree and one year of experience administrative support experience. Must demonstrate excellent written and oral communication skills. Demonstrate strong organizational and problem-solving skills with the ability to manage multiple tasks and effectively prioritize. Strong interpersonal skills and demonstrated professional demeanor. Commitment to provide excellent customer service for students, faculty, staff, and external partners; composure in stressful situations. Experience planning events and/or complex projects. Demonstrated ability to work as a member of a team. Able to manage multiple conflicting deadlines. Regular and punctual attendance. Thorough knowledge of office methods, procedures, and practices. Tact, diplomacy, and judgment when dealing with others. Proficient in Microsoft Office with a history of success with learning new applications and systems and adapting to changing work conditions. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience working in a higher education environment with faculty and/or college students. Able to work independently with little supervision and make sound decisions. Demonstrated experience with collaboration within and across work groups. Experience with event management software (Eventbrite, Cvent.) Familiarity with Adobe Creative Software (InDesign, Photoshop.) Experience developing or managing programs or projects, including assessment of program effectiveness in meeting intended objectives. Able to manage multiple conflicting deadlines. Ability to identify and make process improvements. Familiarity with UT contract procedures and requirements.
