Purpose

Provide complex administrative and clerical support to regional team.

Essential Functions

Manage all administrative functions for Center. Maintain inventory of brochures and office supplies. Maintain working order of printers, copier/scanner, fax machine, and other general office equipment and services as necessary. Serve as primary contact with outside vendors. Determine work priorities with Center Director. Exchange information with other Office Managers as needed. Answer main telephone and serve as front desk receptionist. Assist in directing prospective students to appropriate resources via phone, email, or walk-in basis. Receive and data enter student information, handle confidential and time-sensitive materials, and prepare and route correspondence as assigned by Center Director. Assist center staff with data entry. Assist in event planning and execution to include logistical needs as assigned by Center Director such as submitting funding requests, assisting with invitational mail-outs to students, reminder RSVP/confirmation telephone calls and emails, and setting-up direct bill accounts for the office. Utilize client relationship management tool to input or pull data for programs and events. Assist in the preparation of reports and other requests as assigned. Assist Center Director and with event registration and calendar management for high school visitation programs and local events.

Marginal/Incidental functions

Other related functions as assigned.

Required qualifications

Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Experience providing customer service. Experience using Microsoft Office and customer databases. Strong interpersonal and organizational skills. Ability to handle confidential and time sensitive information. Ability to manage multiple tasks, projects, and priorities. Excellent written and verbal communication skills; professional demeanor. Experience as notary or ability to become notary. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bilingual in Spanish and English. More than two years of administrative experience. More than two years of customer service experience. Experience working in an educational setting Experience with UT Austin policies, procedures, and programs. Ability to communicate professionally and empathetically with parents and students from diverse social, ethnic, and cultural backgrounds. Experience in a fast-paced environment. Demonstrated ability to successfully build, nurture, and balance professional relationships to achieve tasks.

Working conditions

May work around standard office conditions Repetitive use of a keyboard at a workstation Must be available to work some nights, weekends, and holidays, as needed.
