Additional Information

Purpose

Schedule and coordinate work orders for facility renovation and repair projects, and special event support performed by Construction Services shops.

Essential Functions

Process and update service requests for new work using PC-based FAMIS work order management system; provide confirmation back to client. Communicate with in-house teams and clients regarding estimates for shop-managed work. Coordinate schedules for shop-managed work and communicate with planners, project managers, clients, and other stakeholders utilizing telephone, email, fax, and routine correspondence. Receive and process requests for shop support from planners and other internal clients for projects already in progress. Receive daily labor reports and project material lists from shops, review for accuracy and completeness, and post in FAMIS. Communicate and coordinate with clients, shop supervisors, project managers, planners, and other stakeholders regarding status of work in progress, including system outages and progress updates. Assist Work Control Team in monitoring shop commitments for the division to ensure compliance with master schedule, client priorities, and available manpower. Review vehicle mileage logs from shops and post in database. Produce management reports in support of division performance metrics.

Marginal/Incidental functions

Attend management-directed meetings and training. Accomplish other duties as assigned.

Required qualifications

High school graduation or GED. Three years experience in work control, customer service, or shop scheduling in support of facilities maintenance or construction. Experience with direct client contact and receiving-processing their service requests. Three years experience using IBM PC or compatible personal computer. Demonstrated knowledge of Microsoft Office software - Word, Outlook, and Excel. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Associates degree or vocational training in facility renovation or construction, project estimating, or related field. More than three years experience in work control, customer service, or shop scheduling in support of facilities maintenance or construction, including experience in planning, scheduling or tracking progress of trade crews on renovation, repair, or construction projects. Understanding construction trades, particularly the phasing of work and general duties of each trade. Working knowledge of The University of Texas DEFINE mainframe and FAMIS work order management system. Ability to read and understand construction drawings, specifications, and related project documents. Strong work ethic and initiative with ability to perform and communicate in a team environment with co-workers, shop personnel, project managers, clients and other stakeholders. Experience in a university or other large physical plant environment.
