This position reports to the Administrative Manager in the ITS Admin group of Customer Support Services and provides support for Information Technology Services.

Essential Functions

Serves as first point of contact for the office suite, answering or directing questions and issues as appropriate. Manages office supply inventory, monitors conference room and vehicle reservations, and backs up student workers on related tasks. Assists in the planning and execution of events, ranging from small lunch meetings to large scale staff events. Provides support for the ITS new employee orientation sessions. Assists Administrative Manager and the ITS Admin team as needed with copying, errands or other office functions. Assists with department quarterly reporting. Takes meeting notes for CIO and ITS Directors. Serves as backup and assists as needed with maintaining internal and external documentation, mail/package delivery, UT Driver records, on and off boarding activities, on-site vendor management, vehicle logs, and maintenance. Provides backup to the Sr. Administrative Associate in the CIO's Office for items such as the Building Access Control System administration, creating and posting signage, furniture resets, floor plan updates and other related building management tasks.

Marginal/Incidental functions

Other related functions as assigned.

Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.

Required qualifications

Bachelor's degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level. Experience working on a team in a customer service focused environment. Proven ability to track and manage tasks and work independently. Able to exercise judgment in keeping management informed and escalating problems when appropriate. Excellent communication and customer service skills. Proficiency in MS Word and Excel. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience using a ticketing system, and or wikis.
