Purpose

Manage and execute stewardship and recognition initiatives at the McCombs School of Business requiring extreme attention to detail.

Essential Functions

Stewardship and compliance: Manage timely production of approximately 900+ endowment reports, including downloading report distribution list and UTIMCO reports, obtaining financial reports from Dean's Office, producing personalized letters, creating faculty and student profiles, routing letters and reports for review, and assembling, proofing and mailing packets. Manage the faculty donor letter project in the spring and fall. Send faculty chair appointment letters to donors. Maintain all endowment files and records, including requesting copies of student scholarship letters each fall and spring. Monitor principal information and proper coding in VIP. Coordinate Dean's holiday card mailing to 1,200+ recipients. Generate annual stewardship reports for the endowed excellence funds, endowed scholarships, endowed professorships, endowed chairs and for other major donors. There will be occasional face to face stewardship visits in Texas cities with key donors. This will require some travel. Manage all logistics surrounding new donor recognition plaques for endowments, corporate gifts and Advisory Council. Coordinate logistics surrounding acknowledgement tokens; research products with multiple UT-approved vendors, request price quotes, create OOEF's, submit trademarks and licensing approval form, request purchase orders, submit payment requests and manage inventory. Strategically plan and execute annual Appreciation event. Maintain and update annual inventory of nameplates for permanent endowed faculty holders. Update student recipient list for all scholarship and fellowship endowments on the web (200+). Administrative support, VIP database management; update addresses, add "do not contact" codes; oversee collection of deceased alumni and donors notifications, write condolence notes to surviving family members and compile notifications for McCombs magazine. Perform general administrative duties. Order event photos for gift officers and schedule meetings. Order flowers for donor/alumni occasions. Perform other duties as assigned.

Required qualifications

Bachelor's degree. One year of experience in specialized stewardship work. Strong attention to detail required, including ability to manage complicated office processes and databases. Excellent verbal, written and interpersonal communications skills. Proficient with personal computer use and maintenance of spreadsheets. Strong use of Microsoft Word, Excel, Outlook. Ability to use advanced Excel to manage data. Strong organizational and analytical skills with resourcefulness, initiative and ability to work independently on multiple projects and as a team and under pressure of strict deadlines. Ability to handle multiple projects and priorities simultaneously. Ability to establish timelines and meet deadlines with minimum supervision. Strong professional demeanor and ability to work with all levels of staff throughout the University. Ability to work in a fast-paced environment. Experience writing professional letters, correspondence and reports for donors and or business executives. Experience proof reading and strong attention to detail. Demonstrated ability to take initiative and work with accuracy. Ability to work additional hours during peak project times. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's degree and two years experience in donor relations or in a higher education stewardship environment. Working knowledge of UT Austin structure, policies, procedures. Demonstrated experience in donor communications and database management. Experience managing processes. Knowledge of VIP, Define. Excellent written and verbal communications skills.
