Provide exceptional customer service by greeting, directing, instructing, and assisting patients to assure efficient patient flow while maintaining HIPAA rules and regulations for the Health Solutions Unit at UT Health Austin.

Essential Functions

Registers patients in compliance with established policies and payor requirements in a manner that communicates to the patient that their well being is our priority. Assures that the clinic is running smoothly and that patient flow is at the optimum. Performs all front office duties, checking in patients, ensuring completion of all necessary forms for registration, collecting copays, assisting patients when needed, etc. Creates new and follow up appointments as needed for patients. Records no show appointments in EMR. Preps chart for MA/Providers as needed. Obtains medical record requests and makes phone calls to request medical records from outside providers. Obtain referrals and authorization for visits and testing when necessary. Monitors the flow of patients, including placing patients into rooms as needed. Processes patients for discharge including (but not limited to) preparation of charges, collection of monies, obtaining all necessary signatures, and issuance of receipts for monies collected. Prepares daily deposit, reconciliation, and daily statistical information. Maintains a safe, comfortable environment for patients in accordance with facility standards. Keeps patients and families informed of waiting times. Ensures an adequate stock of front office supplies and proper functioning of equipment. Answers telephone utilizing quality customer service skills. Ensures patient waiting area and restrooms are clean and reflect a positive image. Participates in education programs and attends meetings as required. Participates in the orientation and/or training of newly hired personnel. Keeps track of incoming faxes and scans documents into EMR accordingly. Ensures demographic information is complete and accurate.

Required qualifications

High school graduation or GED, and seven years of experience in patient scheduling or patient registration; or Bachelor's degree and 3 years of experience in patient scheduling or patient registration. Ability to multi-task and operate under high-pressure situations. Excellent communication and customer service skills. Proficiency in Microsoft Word and Excel. Ability to type at least 35 wpm. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than required experience and related experience in an academic healthcare setting. Experience in Occupational Health and Urgent Care.
