To provide high-level administrative and logistical support for the executive leadership in the Department of Psychiatry at UT Austin Dell Medical School, exercising a high degree of initiative and judgment.

Essential Functions

Manage calendars, schedule team meetings and serve as primary contact person for associate chairs. Arrange logistical details and establish agendas for meetings. Prepare correspondence for distribution. Provide administrative assistance to executive director for departmental operations, including faculty appointments, faculty evaluations and faculty development programming. Maintain accurate and professional correspondence logs, files, information, databases and other tracking systems as necessary. Ensure that fast-paced office is organized and responsive to all stakeholders. Manage expense tracking and processing, following department protocol. Coordinate functions/events on and off the University campus. Assist with special projects and related tasks that require independent decision-making and a broad organizational perspective. Manage email correspondence and assemble appropriate reference and back-up materials for all meetings. Develop itineraries and coordinate travel arrangements, where necessary. Process travel reimbursement and other expenses.

Required qualifications

Bachelor's degree and at least three years of experience with advanced administrative functions, particularly calendar management and direct support of senior executives. Effective communicator with excellent oral, written, and interpersonal communication skills. Demonstrated problem-solving and critical thinking skills. A self-starter with the ability to work efficiently and flexibly in a fast-paced environment with minimal guidance. Outstanding organizational and time-management skills. Highly detail-oriented. Professional demeanor with tact and respect at all times. Ability to address individuals and information with a high degree of sensitivity and confidentiality in various delicate, formal or urgent situations. High level of proficiency with Microsoft Office programs: Excel, PowerPoint, Word, Outlook, Visio, etc. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than three years of experience providing high-quality administrative support. Experience at UT Austin. Start-up experience in any sector. Experience in health care delivery, psychiatry, or biomedical research. Excellent communication and organizational skills. Experience with database management.
