To assist the Sr. Associate Vice President for Development and the Assistant Vice President/Campaign Director through the daily management of administrative activities.

Essential Functions

Work in a team-oriented atmosphere designed to create a productive work environment. Provide support that allows for efficient and effective use of top level executives. Serve as one of the receptionists for the suite. Assist in coordination of activities for executives. Schedule appointments and meetings, coordinate resources and provide appropriate reference and back-up material for all meetings. Arrange administrative meetings, contact proposed attendees, prepare and distribute agendas and handouts, arrange room reservations, catering, and all other necessary logistical details. Compose and prepare correspondence, reports, meeting agendas, and notes, assist with contact reports, thank you letters, and follow-up materials as requested. Maintain copies of documents for office files. Coordinate travel arrangements. Develop itineraries, handle arrangements with drivers or cars, provide detailed driving directions with maps, reserve meeting facilities, hotel arrangements, and other necessary arrangements. Maintain current information in VIP system for donors and employees. Assist other team members.

Required qualifications

Bachelor's degree. A combination of one year of experience assisting with fundraising programs or performing complex administrative functions. Experience maintaining calendars and schedules for multiple administrators, composing and/or editing correspondence, working with databases, and working with confidential information. High degree of proficiency in computer applications, including Microsoft Office. Demonstrated excellent organizational skills with attention to detail. Excellent verbal, written, and interpersonal communication skills. Ability to interface effectively with a wide variety of personnel. Experience working in a diverse environment, maintaining customer focus, and implementing continuous quality improvements. Must be able to work well under pressure and with deadlines, independently, and without day-to-day supervision. Demonstrated ability to work effectively in a team-oriented environment. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than five years of administrative assistance experience. Proofreading and data review experience. Experience with VIP database and DEFINE. Working knowledge of UT Austin's policies and procedures.
