Provide administrative support to Texas Executive MBA students in areas of registration through graduation. Provide administrative support to the Texas Executive MBA faculty and alumni. Responsible for assisting the program administrative units with both administrative and special project work.

Essential Functions

Provide support to current EMBA students. Duties include serving as a resource for program information, providing on site coordination during weekend classes and program events. Remain up-to-date on administrative functions and program needs. Administers and collates new student surveys, Course Instructor surveys, seminar evaluations, entry and exit surveys. Oversee registration process for newly admitted and continuing students each semester, Continuing Education credits, work with academic departments to coordinate available electives, process Course Scheduling requirements for the program Assist faculty with course related needs and provide support; duties include ordering, assembling and distributing, mailing course materials, proctoring exams as needed, and other related duties as assigned. Assist with planning and on-site coordination support of major student events and programs including the Welcome Reception, Executive Seminars, Graduation Events and activities. Contact vendors, coordinate purchases and delivery of promotional materials, awards, program materials, etc. to office and classrooms. May travel to off-site vendors requiring the use of personal vehicle. Provides support and complete special projects for Director and Senior Program Coordinator as assigned, including coordination of travel requests and reimbursements for Director, greeting prospective applicants for their interviews, assisting with miscellaneous operational requests and reports. Prepare MBA directory for EMBA Program and content for MBA Yearbook. Manage production/mailing of new student information packets and communicate requirements to remove bars on student records. Work with newly admitted and continuing students to inform them of deadlines, requirements, and fees. Supports the delivery of the academic program, maintains accurate and up-to-date student records in information sources, tracking progress on University systems, graduation audit.

Licenses: Class "C" Operator's Driver's License. Applicant selected must provide a current three year Driving Record from the current state of residence. If not currently a Texas resident, must obtain a Texas Driver's License within 30 days after entering Texas as a new resident.

Required qualifications

High School graduation or GED. Five years of clerical experience. Excellent attention to detail. Professional demeanor and excellent written, oral, and interpersonal skills. Demonstrated strong organizational and multi-tasking skills. Ability to use various software applications. Excellent attendance and punctuality. Ability to work independently with limited supervision. Ability to work as a team member and work with overlapping projects and continuous deadlines. Equivalent combination of relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Bachelor's Degree. Prior experience with degree programs and in a university academic setting. Experience with event planning. Excellent proofreading and spelling skills. Proficient in Microsoft Outlook, Microsoft Office, Google Drive, and Canvas. Prior experience with UT-Austin program coordination and administration. Demonstrated ability to communicate effectively with diverse populations, including University faculty, staff, students, and vendors.

Working conditions

May work around standard office conditions Repetitive use of a keyboard at a workstation Use of manual dexterity Schedule dependent on program events. Required hours on alternate Fridays: 7:30am-5:45pm. Required hours 1-2 Saturdays per month: 7:15am-5:30pm. Additional evening and weekend hours as needed for Special Events.
